Associate Basic Tags

Basic tags are smaller than detailed tags, making them more seamless and less of a hassle for your hospital to apply to items. Rather than print information directly onto basic tags, like you would with detailed tags, basic tags acquire item information via the scanner. 

You can associate basic tags to items, kits, and bins. 

Associate Basic Item Tags

You can associated tags to a single item or a batch of items with the same process. To associate tags to single items or batches:

  1. Apply the tags to medication(s) before you associate those tags in the KitCheck application. 
  2. Place all of the tagged items into the scanning station.
  3. Click Scan.
  4. Verify the number of items you placed in the scanner. If the quantity entered does not match the number of tags in the scanning station, you will receive an error. 
  5. Enter the NDC of the items manually, or scan the barcode. 
  6. Select the option that matched the manufacturer’s NDC and item information. You can also add the item manually. 
  7. Enter the lot number and expiration date combination printed on the manufacturer’s label. 
    If the lot number and expiration date pair have been entered before, you will be prompted to add the items immediately. If the lot number and expiration date pair are new, you will be asked to verify by re-entering the information. 

  8. Once the lot number and expiration date are entered and verified, you will be immediately redirected to the next screen.

You will see a success message to indicate the items have been successfully added. 

Verify an Item Tag Association

In most cases, associating item information into a basic tag is done by a pharmacy technician. After the tag has been linked to item information, it must be verified by a pharmacist. The verification process for a basic tag is the same as for a detailed tag. 

  1. Place the tags of the same NDC, lot number, and expiration date in the scanning station.
  2. Click Scan. The Batch Item Verification screen displays.
  3. Verify the NDC, lot number, and expirations on the medications.

Associate a Basic Kit Tag

You must attach a tag to a kit and associate it with that a kit type in the application. After you apply the kit tag:

  1. Put the tray/kit into the scanner and click Scan
  2. Select the Kits tab.
  3. Select the kit type. 
  4. Enter the quantity and name of the physical label associated with the kit. 
  5. Click Next

Your kit tag(s) have now been successfully linked to that kit. 

Associate a Basic Bin Tag

You can associate basic tags to bins to help manage your shelved inventory. To associate a basic tag to a bin:

  1. Place the basic tag in the scanner and click Scan. You do not need to attach the tag to the bin before scanning, as some bins will not fit in the scanner. 
  2. Enter the number of tags in the scanner. 
  3. Select the Bin tab. 
  4. Enter the Bin name.
  5. Enter the Low Alert Level.
  6. Enter the Par Level.
  7. Enter the Expiring Soon threshold. 
  8. Click Add Bin

View Item or Kit Information

If you want to view details about an item or kit, scan the QR code on the basic tag with the handheld barcode scanner. You can also view item information by completing the following steps:

  1. Go to the Inventory drop-down.
  2. Select Manage Items.
  3. Scan the QR code using the handheld barcode scanner.
  4. The Manage Items screen displays details for that item. 

Workflow Interruptions

Sometimes, you might accidentally have a mix of associated and unassociated tags in the scanner. To work past this interruption, remove the tags from the scanning station and verify that each of those tags is not associated by using the Manage Items workflow detailed above. If the error persists, call KitCheck support.
