When trying to print tags, you are asked to scan the item using the system barcode scanner next to the computer. If the item exists in the KitCheck database, it will become available for selection under NDC/Manufacturer’s ID. If the item is not in the database when scanned, you will be prompted for manual entry of its attributes. Click the text Not in list? Click here to add it manually.
To manually add an item to the formulary, provide the following information:
- Manufacturer’s Name
- NDC/Product ID (required)
- Item Name (required)
- Generic Product
- Item Strength
- Item Strength Unit of Measure
- Package Size
- Package Size Unit of Measure
- Package Quantity
- Package Description (required)
- Dictionary Type
- Tag Type (if applicable)
- Expiring Soon (if applicable)
- Alternate Expirations (if applicable)
Tips for Manual Entry
The information should be entered exactly as it appears on the manufacturer label (this includes all hyphens, dashes, uppercase letters, etc.). Items with a * represent required fields.
Manufacturer's Name: This field is for the manufacturer of the item, e.g., Hospira, Novaplus.
- NDC / HRI / UPC: This field is for the item’s NDC, HRI, or UPC. Include the dashes and remove any zeroes at the beginning or end of the number. Enter the NDC exactly as it appears on the packaging.
- Item Name: The name of the drug or item, e.g.,: Propofol, Calcium Chloride. This is the name that will print on the KitCheck tag. This field doesn’t have any relation with the segment name.
Generic Product: The item’s generic drug name, e.g.: Acetaminophen, Propofol. Start entering the item’s generic name to search and select an entry from the Medispan database. Selecting a Generic Product will also populate the corresponding Item Strength and Strength Unit of Measure.
Item Strength: This is the strength/dosage amount of the drug and is a number only, e.g.,: 30, 2, etc. This will print on the KitCheck tag.
Item Strength Unit of Measure: This is the unit of measure of the strength/dosage of a drug, e.g.,: ml, mg/ml, %. This will print on the KitCheck tag.
Package Size: This is the size of the actual container for the item such as a vial or syringe. This is a number only, e.g.,: 30, 2, etc.
Package Size Unit of Measure: This is the unit of measure of the actual container for the item such as a vial or syringe, e.g.,: mL.
Package Quantity: This is how many items come together in a new package or box, e.g.,: 10, 25. Most of the time, this will be 1.
Package Description: This is the type of container for the individual item, e.g.,: syringe, vial, etc.
Alternate Expiration: This is how a refrigerated expiration date is set for items that expire a certain number of days after they are taken out of the refrigerator.
Tag Type: Normal (from printer) will be used the majority of the time. These are the tags that are loaded into the Zebra printer. The alternate choice is Foil Lined Bag (pre-printed) which are the foam back tags that are used for items like foil lined Dopamine bags.
Expiring Soon Days: This field is for setting an expiring soon date for an individual item so it will show up under “Expiring Soon” on the scan summary screen of a tray/kit. This is used if the “Expiring Soon” date should be different than what has been universally set in KitCheck for the hospital.
