Canada: Scan Kits and Trays

The KitCheck scanning station scans all of the items that are in the scanning station at the time the Scan button is pressed. To initiate a scan, simply click on the Scan button as shown below.

Two types of scans are commonly used:

  • Scanning Kits and Trays
  • Batch Verification Scans

Set Default Scanner

If your facility has more than one KitCheck scanning station, you can set the default scanner for the workstation you are using by clicking on the drop-down arrow next to the Scan button and then selecting Set Default Scanner from the menu. Once selected, your scanner settings will be saved.

This preference can be changed at any time by clicking the Set Default Scanner menu option. 

Scanning Requirements

To begin scanning kits and trays, ensure that the following conditions are met prior to scanning:

  • No more than one kit is in the scanning station
  • The kit has a kit tag applied on the outside of the kit or tray
  • The doors of the scanning station are closed
  • All used items and trash are removed from the kit
  • No extra KitCheck-tagged stock is sitting on top of or directly underneath the scanning station 

Once these conditions are met, click Scan. The following image displays: 

Interpreting Results: Scan Summary Page

After the scan is completed, the summary page outlines any further actions required to prepare the kit for dispatch. The summary page will show:

  • Items with a quantity greater than expected
  • Items missing relative to the number expected
  • An item present but not expected in the kit (note: this is most likely due to medications in kits that have not yet been added to your electronic formulary)
  • An expired item to be removed
  • An item expiring within the threshold of expiration set by your hospital 
  • Items that are multi-dose 

In the scan summary header there are a number of helpful pieces of information including:

  • The type of kit which has been scanned
  • The total number of items scanned in the kit
  • A summary of how many items are extra, missing, expired and near expiration 
  • An indication of which item in the kit expires next and the expiration date

To indicate that a multi-dose item has been opened, click on the Mark as opened link to mark the specific item(s) as opened.

After correcting the items listed on the summary page by adding, removing or replacing items in the kit, place the kit back into the scanner and re-scan. Once scanned, you will see the “This Kit is complete” screen.

Interpreting Results: Scan Details Page

In order to view all of the items in the kit, click on the Scan Details tab. The details page shows the following for each item in the kit:

  • Manufacturer
  • DIN
  • Lot number
  • Expiration date 

Scan a Kit or Tray with No Kit Tag

If a scan is requested for a kit or tray with no kit tag, an error message will appear that indicates the scan has been blocked, shown below. To print a kit tag, refer to the Printing Kit Tags section of this guide, print the appropriate tag for the tray, and apply the kit tag to the kit or tray. The tray can then be re-scanned in the KitCheck scanner. 

View Historical Scans

To see the processing history of a single kit, click the historical scan drop-down in the blue banner or select the specific scan from the Kits option in the Inventory drop-down menu. The Scan History Details include:

  • Date and time of previous scans
  • Expired items at time of scan
  • Items expiring soon at time of scan
  • Missing items at time of scan
  • Extra items at time of scan

Clicking a specific scan date and time allows you to view what was added or removed from the specific kit. Select the Show All option to view every scan for that specific kit.
